Club Info Week
Hi ASB!!!!!!!!!!!!
We just wrapped up on club info week and we would love to hear your feedback!
Some info:
- occurred over three days (9/7 - 9/9)
- two days were interest clubs
- last day was competition and service clubs
- ~25 clubs each day, 2 clubs per table
- clink and leg council had tables at the entrance of the gym
- moved the event from the quad to the gym due to the heat
- created a QR code with a digital matrix instead of a physical copy
- posted the map on the asb Instagram
Some issues we found:
-some people wanted a paper matrix
-some clubs did not read the map properly and went to the wrong booth
-there was no AC in the gym
-no food was allowed in the gym + people kept walking into the gym with food

ReplyDeleteClub Info day was really fun both as an attendee and club officer! First of all, huge thank you from Breakdance Club for making the decision to use the gym, it was really great for our forms of advertising. I feel like clubs just went to whatever booth they wanted to, so in the future maybe have a map posted on the Clink table to people can double check. Also, definitely print some paper matrixes next year, since they helped a lot last year and I saw a lot of people not using the matrix at all. Also, while the gym was hot it was definitely better than the temperatures outside. Overall, great job keeping clubs updated and facing unexpected challenges like the weather for this event!

ReplyDeleteCongrats on wrapping up a successful club info week! Moving the event from the quad to the gym was a good idea even though there was no AC because the temperature was still much cooler inside. I agree that having a paper matrix may be a good option for people. Personally, I didn't know a qr code existed for the matrix, so there were probably other people like me who didn't know as well. It's much easier if they could be passed out at the tables near the entrances of the gym (like near where the LEG council table was located) for people to just read and carry along while looking at clubs. On the food issue, I feel like the gym is just a hard place to monitor especially when it's so crowded. What may help is putting large signs near the entrance reminding people about the no food policy, and also telling club officers so that they can remind people. Overall though, the event was very organized, informational, and fun :))

ReplyDeleteGreat job for club info week, it was highly informative for both the students to see what clubs are available on campus, and for clubs to see how much interest they have before meetings begin. Here are a few of my suggestions:
1) Access to club information should have been prioritized for students. Instead of having to visit the Lynbrook ASB website on their own, the club matrix and schedule could be printed and passed out to the students. In the future, this can also include a congregated list of all the registration links for each club and their contact information. 2) Outside of club info day, clubs should have been given a clearer & stricter heads up on where to get flyers stamped, how to put them up, how long them can have them up, and etc... Even now (days after the event), I still see club flyers around campus on bulletin boards! 3) Encourage club leadership next year to bring a diverse set of goodies to club info day next year (instead of just stickers).

ReplyDeleteRight off the bat, I just want to say that y'all did great with club info week! Especially as a freshmen where I had little to no clue about all the clubs we have to offer, club info week helped showcase a variety of different clubs. Personally, I liked how the clubs were seperated by type (service, interest or competition) as it's easy to know which day offers which variety of clubs. Also, great job moving it to the gym on a short notice and I feel that it was a smart move :) Only thing I would suggest is to have a large map with the locations of all the clubs for the day. That way it's a lot easier to navigate and find exactly which clubs are where. Or maybe we could try a system that's organized in a certain way such as alphabetically so it's easy to locate clubs? Other wise, super great job!!

ReplyDeleteexcellent job on a successful club info week and extra props for the last minute location change!
since CIW was moved into the gym, I think there are some ways that creative promo might have been implemented to drive more traffic to the gym. for example, displaying the event on the gym 'scoreboard' (monitor? the thing on the wall). additionally, describing the types of clubs that are being showcased each day/a masterlist via large posters, whiteboards, etc across campus in the days leading up to CIW might help drive hype for the event so that people can anticipate each clubs' "event". this is a minor thing, but there also seemed to be a problem wherein a lot of clubs had officers that didn't sign up for excusals— perhaps a reminder on an asb platform (ig, announcements) might help!
on the food and ac issue— if we can find ways to get more ventilation with fans/machines that'd be great. we typically try to do CIW outside, so hopefully the food is just a one-time problem. if we end up doing it in the gym again in the future, it might be helpful to display large "no food" signs out so that having food out obviously would be more *shameful* and appear more heavily enforced.

ReplyDeleteOverall club info week went really well and personally I liked how y'all did it a lot. I think for most of the clubs set up was done well and traffic was driven well. I also liked how clubs were separated by genre because it made it much easier to find interests. 1) I know a lot of other people suggested it, but I think you could maybe make a map for each day and have it on the Lynbrook app. This would not only drive downloads and user interaction, but also be very helpful since everyone knows exactly where they want to go each days. 2) If people wanted a paper matrix I think what you guys could do is have it up online a day prior so that way people have access to print it out at home the night before if they want too 3) With the no food policy theres not rly much you guys can do aside from having signs up at the entrance, but probably just having a person at each of the doors making sure no one is bringing food in.

ReplyDeleteGreat job clink!! I didn't even realize CIW was supposed to be held outdoors (until I read the other comments) because of how well everything was laid out. My thoughts on the food and heat situation are pretty similar to everyone else's-- Food can't really be stopped unless signs are posted or people menacingly guard the outside of the gym. I personally think the heat was alright because it was so much cooler compared to outside and the gym was only a one time thing. (Does the field house have ac? It's a lot smaller than the gym though idk).
As for the people who wanted a paper copy of the matrix, it might be helpful to just have 1 large poster/paper on an easel-like situation by the entrance of the gym, since most people use the digital format or just ignore the matrix all together.
Also I really like Maple's idea of more diverse club goodies :) GOOD JOB CLINK!11!1!1

ReplyDeletegreat job with CIW even with such a sudden venue change! i ended really liking the gym albeit the absence of AC, as the windless environment made things far less chaotic and there was no sun beating down on everyone's backs. on improvements, i would definitely bring back the paper matrices for next year/project it and definitely integrate bigger signs (but i understand the turnaround time was really short, so no worries).
on a very much side note, i really liked the goodies clubs brought out this year! i liked the photo ops many clubs had and i think encouraging clubs to bring out these interactive elements would be cool too!

ReplyDeleteClub info week went rlly smoothly and pretty well organized. I liked how this year it was held in the gym rather than the quad, n I heard many club officers preferred that too. To cover the promotional advantage of the quad, maybe you guys could have signs/promo in the quad or a huge banner over the gym.

ReplyDeleteciw seemed like a huge success and you guys handled everything super well! for things that were out of your control such as the weather, i think the decision to move ciw to the gym was a good move. if we ever do end up having it in the quad again i would suggest requesting tents to put club booths under. it would at least be able to prevent the sun from glaring directly down at people. as for the un air conditioned gym, maybe try getting ahold of some fans? it might not help a ton but i feel like it would be better since more air is circulating inside. i didnt hear any complaints of heat in the gym so i feel like people are in favor of that over the quad. someone mentioned in class of spreading out the larger clubs around the gym so they are not clustered together and i definitely think that should be implemented for next year. overall, amazing job on ciw!!

ReplyDeleteClub info week went super well this year and I liked how organized each group was. As much as I loved the gym compared to the quad, it did have many downsides such as not bringing in food. A lot of people, especially since it was lunch, preferred to just skip going to club info week, because they weren't able to eat. Others also managed to just run straight through with their food, which was definitely an issue. Not sure how that could be fixed, but honestly a good number of students still went to the event which was great.

ReplyDeleteClub info week seemed to be a pretty big success this year. Personally, I enjoyed the space and organization in the gym. We saw that many things went well and many things could be improved upon. Similar to what many others are saying, I think that big signs and something that is in your face can help promote Club info week next year. I also feel that there could be move advertising (maybe in PR video) and that possible Link Crew leaders could email their freshman about it to really bring more people to the event. Otherwise, I think y'all did a great job!

ReplyDeleteclub info week was amazing and a really great way to find and sign up for clubs! i think it was pretty well organized, but would've liked if tables were further apart. the air did get a bit heavy and dense, but i thought it was much better than roasting outside in the sun. i do agree with the others that the PR portion could have been better. quite a few freshmen do not have instagram, and didn't know that the event was happening. we should definitely do some in-person promotion - whether it be posters, MORE announcements, flyers in teachers classrooms, etc. since a majority of the audience consisted of freshmen, i think this would be super helpful. :) i did think that having stories up every day was refreshing and nice cause it reminded everyone and gave them an overview of what was happening the next day - lets keep this for future events!!
i think it would also be a great idea to get the club matrix printed and have the QR code up around the gym so students can see and scan it!
overall, i think it was a very bomb event and a huge success!

ReplyDeleteFirst of all great job on club info week, it's a really important event at our schools especially since we have so many clubs on campus so thank you for everything you've done! Although I think it's nice to have the matrix online to avoid paper waste and printing a lot, but I still think it would be better to have some paper copies since it's a bit more accessible. Although this year there was no choice but to keep it inside the gym, I still do somewhat prefer it being in the quad, because I think in the past there was a little more attendance when it was outside (but it could be other reasons). I also think in the past they used the whiteboard to display a diagram of the table setups and which clubs are where, which I think can be used again. But other than that great job!

ReplyDeletenice job this year doing club info week. I think you guys did a pretty good job and I commend y'all for trying something new with the gym setting. As was discussed in class time, I think it is probably for the best to keep it outside next year, since at this time of year it will always be hot, and thus a un-air conditioned room with more that 100 students together is always going to get hot. I understand it might be a lot to clean the quad, but with the clear lack of respect for the no food in gym rule I think trash might be a problem whether inside or outside.

ReplyDeleteClub info week was overall great this year. Lots of people were heading to the gym and signing up for all sorts of clubs, and the general vibe I got from it was pretty nice. A few things that could be improved are outreach and management/clarity. While there were a lot of people at club info day, it was not advertised as much as I'd have thought, and resulted in a lot of freshmen and even some sophomores/juniors not knowing when/where to go for it. Holding it in the quad was good for the reason that it was clearly visible to everyone, but with the lunch line obscuring the gym entrance it would be hard to tell something was happening inside if you didn't already know. I don't think we should switch it back to the quad, especially given the time of the year it's held, but I think we should at least put up signs or something large and noticeable that directs people to the gym or just lets them know when club info day is without them having to actively look around or ask people. In terms of management and clarity, I mean to say that while I was setting up my booth, I noticed a few (not many, just one or two) clubs did not know where their booth was meant to be set up. and this led to a chain reaction of people being displaced until it was resolved. This led to unnecessary conflict and time taken away from member recruitment for some clubs. I think this can be solved pretty easily, just put a piece of paper or label for each booth with their just as a precaution, but it would be a pretty great help in situations like those. Besides those, I thought the event itself was a pretty big success and you guys should be proud.

ReplyDeleteI actually really like the change made to club info week this year by moving it into the gym. Although there is no ac, it prevents the glare on the computer, poster boards from flying away and most importantly (to me) computer heating up. Like mentioned in class there wasn't much notice or promotion on the fact that club info is in the gym maybe take advantage of the announcements and do that at the start of lunch. As for my club, we didn't have any conflict in finding out booth everything was labeled really nicely. One thing to note are to separate the super popular clubs so that one space in the gym isn't super crowded. Overall, loved the event and good job for making this happen

ReplyDeleteI think club info week went really smoothly so props to that. Good job transitioning and moving from the quad to the gym. I think another idea is since the gym got a little stuffy, you guys can move it into the field house because the filed house has AC. And then as everyone else suggested, you can put something in the quad to let people know about club info week. overall though, great job.

ReplyDeletei wasn't able to attend club info week as i had covid 😭 but from what i heard from my clubs, it was a rousing success! vertigo, for example, managed to get 100 signups, more than ever before. i heard that the lack of AC was uncomfortable though. you might look into borrowing ASB's electric fans, and if they aren't enough, buying some. we could use them for many events to come. i agree with stephanie saying that a big paper poster to replace the many many paper matrices would be good in the future. you could have the big posters placed on each wall of the gym, not just at the entrance.

ReplyDeletecongrats on completing club info week! this event is always difficult when it comes to dealing with the traffic of people and multiple different clubs but you guys kept organized in both your communication and execution. some suggestions for fixing the traffic issue would be potentially spacing out competition and interest clubs. competition clubs tend to get the most traffic so having them all present on one day created the most traffic that day. another issue that club officers ran into was getting their signed club document turned in on the same day as their booth. it may be more useful to have them be submitted the week before so officers aren't scrambling with getting their booth set up and working out the document logistics as well. other than that clubs seemed to know what they were doing and a lot of students checked out the booths so great job clink!!

ReplyDeleteGreat job with Club Info Week. I really liked seeing all the different clubs and I think that you guys achieved your purpose. I think that the gym is definitely a good alternative to the quad as it is a lot more focused. But it will take a lot more advertising and planning on air conditioning and circulation. I think that while the quad attracts a lot more people, it is more messy. Overall, great job and I am excited for Club food Day!!!!

ReplyDeleteGreat job with the last minute switch over to the gym! I think that the gym is a great alternative, but since it was really last minute this year, it wasn't as well publicized and people weren't used to it, so the amount of people attending on the first day was significantly less. Hopefully by switching to the gym from the start next year, more people will be attending! We can consider putting up the matrix on the projectors in the gym and that way people can easily see it or take a photo of it! As for the food problem, we could consider putting up posters at the doors reminding that food isn't allowed!

ReplyDeleteYou guys did amazing with the Club Info Week project. it must've be stressful having to coordinate with all these clubs. My brother, who is currently a freshman, really enjoyed the event, and it seemed to be a good introduction to the clubs at Lynbrook. I just have a few comments about the project. First off, I think you guys should have large graphics or cardboard cut outs in the quad/other areas of the campus to remind people at the event. Another idea would be doing announcements and/or have people from clubs post the QR codes/list of clubs/map of clubs in their respective classrooms. Not sure it this can bypass some of the work needed or required for this type of promotion, but if you coordinate you should be able to get one in all the classes. Also, on a side note, the last minute switch to the gym was really well done. The one problem I had would be food and well as the enforcing of that rule.

ReplyDeleteReally great job putting together club info week. It’s definitely not easy coordinating with the 70+ clubs at Lynbrook, but you guys did such an amazing job. I really loved that you guys had a digital QR code available for students to scan because it not only reduces paper waste, but also gives students one less thing to carry. However, I do know that some people just prefer looking at physical things, so it might be a good idea to have some physical maps available as well for next year. I also really preferred the Gym to the Quad. My usual perception of CIW in the quad was that it was super crowded and hot, and so I was too busy blocking the sun from my eyes and couldn’t focus on what the club officers were saying. In contrast, the Gym provides just the right amount of space and doesn't get too hot; students can always step out for a bit to eat lunch. In order to attract students there, you guys could make an announcement at the start of lunch and put up signs all over the quad pointing towards the Gym. Overall, great job CLINK!

hi clink!! great job on club info week! i think something that asb can do is encourage clubs to think of creative promotion methods! after all, this is an event for them so it shouldn't only be clink! i would also have clink members drop by freshman classes to encourage them to attend. great job again!

ReplyDeleteamazing job on club info week! I know one of the biggest issues was having food in the gym. I instead of waiting inside the gym and telling people to responsibly put their food on the table maybe set up outside the entrances in the lobby so stop people with food on them. The gym was nice because there wasnt sun but i think the quad is better because theres more visibility.

ReplyDeleteWhat a great job with club info week. This is just continuing the discussion we had in class, overall I think it was a great job! I loved the info week but I do wish we had a better map so its easier to go to certan clubs. A lot of clubs were close to each other so make sure to space them out and move popular clubs away from each other so its not a mob.
