Valentines Club Market
HELLO ASB!
The Valentine's Club Market happened on Thursday, February 16th, and we featured 14 student groups. The event was a valentine-themed market event, where clubs, class officers, and virtual enterprise businesses were able to sell items or activities to the student body. We also promoted the event through Instagram stories, posts, as well as handing out physical invitations during lunch.
Prior to the event, we opened sign-ups from clubs, however, most clubs signed-up on the last day of signups :( . We communicated the logistics to them via email, and had an in-person meeting with clubs during a lunch. We reviewed their items and approved them to participate in the event.
On the day of the event, we began set-up at 2:30 PM until 4:00 PM. All clubs/virtual enterprise groups were there on time and were fully set up by the start time. We also set up decorations at this time; for decorations we had red/white tablecloth's, a balloon arch (shoutout AJ), hanging plastic hearts from trees, and social's flower vines. During the actual event, we had a good turnout of students, who bought tickets from the line in the cafeteria (however, it was hard to find for many students). Students purchased the items and activities sold using tickets. The demand for clubs varied, and some clubs sold out halfway through the event, while others sold less. We noticed that the food items were the most popular, then the miscellaneous items (ex. stickers/necklaces), and finally the activities. Overall, at the end of the event, around $2500 in tickets were sold and almost all clubs made profit (12 profit, 1 loss, 1 broke even).
Here are some prompts to discuss:
- How can we better ensure that all clubs/groups make a profit?
- Was it a good idea to have match-o-matics during the event?
- How can we better promote the photo booth (most people did not know it existed, even after announcements)?
- How can we better gauge how much to buy?
- We had one club sell out within 15 minutes of the event (~50 cups of boba) and they wanted to buy more. Is it a good idea for clubs that sell out fast to purchase more items in the middle of the event?

ReplyDeletefor a new event the Valentines Club Market was great! to ensure that all groups make profits, maybe warn them in the informational emails and tell them not to spend too much on what they're selling. this personally didn't happen to my club but I know a few clubs that didn't break even. in theory matchomatics at the event was a good idea, but I didn't really see many matches walking around together. I think a lot of the people just came for the donut and left, which is fine but doesn't really achieve the goal of the event. also, instead of having the photo booth in the corner of the quad, try setting up a backdrop + camera somewhere in the central area that people will notice. the event was great and I'm glad you guys pulled it off, I really hope it happens again next year!

ReplyDeleteFirst of all I loved the new event it was so unique and it somehow suited the valentines theme so well, so great job on that! The only issue I have with the event was that it was on a Thursday not a Friday. There were many sports during that time after seventh period, I know one of the teachers possibly in charge of this event wasn't free on Friday but keep in mind that attendance will probably be higher on a Friday! As for clubs buying food in the middle of the event is possible but I just think it isn't as ideal since they would still have to go all the way to the store, wait for the orders and drive back to school. Since the event isn't as long there might not be enough time towards the end for students to purchase. In addition to that some students leave before the event actually ends. Finally with the photobooth, I think it wasn't emphasized that there was a photobooth on the instagram posts so keep in mind to include those next time. I think it would also be nice to have the activities near the photobooth because it felt really isolated and not many students showed up!! Other than that, I loved this event amazing job on it!!

ReplyDeletepreface: oh my gosh i loved this event so so much and i really hope y'all continue it in years to come! for profits, it seemed that most clubs profited, and at the end of the day, i think we just need to be stringent on club's logistics, and i feel that that's within our jurisdiction since it's an asb event, not a club one. juxtaposing match-o-matics with this event was not only thematically clever but i think it improved both events. in terms of buying things, it seems like it's okay to buy a little less and go get more once the demand is understood (like fbla's case). that could be better since that would result in two spikes of puchasing (one each time merchandise is brought). other than that, not much negative feedback - i actually liked that it was on a thursday since it felt less serious(?) and setup was easier since most of us don't have 7ths.

ReplyDeletegreat job on valentine's club market I really enjoyed it as virtuosity was able to sell a lot of stickers!! I think that although there was really good promo for the event, I think it's still hard to convey what exactly each club is selling, so I think perhaps the week before the event maybe the Lynbrook ASB Instagram can make a post that features each club and what they're selling (as in asking the clubs to submit a picture of what they are selling), just because sometimes the clubs are making crafts/items that are hard to visaulize so that there is a bit more advertising which might increase profits for clubs. I also think that some kind of QR code/scanning for a map + list of vendors of the event might be nice for the people attending. Other than that, great job!!

ReplyDeletei really loved how you guys decided to do valentines club market and try out a new event!! it seemed super successful as i saw a lot of people show up. honestly, i dont think you guys can do much to monitor whether clubs make profit or not. unless there are restrictions you guys want to place to make sure some clubs dont sell too much/expensive items, clubs just decide what amount of items to buy that would be the best for them. i liked how you guys promoted match o matics during this event to increase attendance but i think the timing/day was inconvenient for some people. maybe you guys could offer different incentives for the partners who show up at lunch to the ones that show up at the valentines club market. it seemed like there were a lot of people were there but i think if the event was on a friday afterschool more people would be willing to stay.
if clubs are willing to go out and buy more food items since they ran out, i think they should be allowed to. they should definitely have to run it through clink first to make sure there is still enough time left in the event that people would want to buy it. the event was super cute and i hope we can continue doing it in the future! amazing job clink!!!!

-because this is the first time valentines club market took place, it's definitely predicted that its difficult to gauge how much to buy. if this same event were taking place again next year on a friday, you guys would be able to use the numbers from this year.
-if clubs sell out fast and want to buy more, i think its fine for them to place anther order in the middle of the event and get a 2nd batch w/ a smaller quantity. this would create 2 bursts of popular demand, and could possibly encourage some people to stay longer as well.
-for match-o-matics, many partners just got their donuts together and left. a cute idea is to have them do some sort of interactive activity together first, and then getting the donut once they're done.
-i dont think clink can do much to ensure that ALL clubs are making a profit, but sending clubs a rough set of guidelines to help them make purchases on products that don't cost too much could work.

ReplyDeletecongrats on valentines club market!! you should be very proud of your hard work and efforts of trying to try new things. it was such a cute event and i'm sure the students enjoyed the various activities/foods.
here are some points regarding your questions
- making sure clubs make profit: i wonder if you guys made them fill out a form beforehand about the unit costs and profits. making clubs calculate that beforehand would make them more mindful and you can have clink members look through them to "quality check" their plans. if you notice that the profit margin is very thin for a club, you can give them a heads up or help them make a better plan.
- having matchomatics is actually a great idea but ecnouraging people to do activities would be the cherry on top. also, making sure that the event is scheduled on an afternoon after 6th period rather than 7th period would ensure higher turnout as well.
- asking social about their numbers would be helpful for gauging how much food to buy. having less food and selling out is always good.
- clubs that want to buy more in the middle of the event always have that risk of not being able to sell out. they can risk it if they want to but it's heavily advised for them to buy a very modest amount if they were to buy more things during the event.
again, you guys worked very hard and this was an amazing event!

ReplyDeleteval club market was a blast and really fun!! congrats on pulling off such a big event with so many clubs/partnerships.
here are my reponses for your discussion questions!
1. i think it's really hard to enforce and make sure that all clubs make a profit because at the end of the day, it's their budget and up to them how to spend it. however, to kinda help them out, you could politely recommend not spending a lot of money buying things and/or buying items with a low unit price.
2. match-o-matics was good as promo for this event but didn't really impact it. i think it was good you added it this year because it encouraged people to show up to this new event. for next year, however, i think we should separate the two events and make match-o-matics a bigger project so that students don't just grab a donut and walk away.
3. i think the photo booth would be something to invest more time/money into during decs setup. maybe having fairy lights and other art on the poster would make it more inviting and encourage people to take pics? i think going in 100% would be better than 50%. furthermore, moving it a bit to the center of the quad/where it is more visible would be nice. thank you stella for the pics though!!
4. it was really hard for you guys this time because it was the first time this event was happening, but for next year it would be good to look at data from purchases this year and make accurate predictions.
5. yes, i think the club should get the freedom to buy more items if they choose to. i think as long as they are rebuying it before the first hour/first half is over it should be fine. i don't believe that we should regulate what clubs really do with their money and that they should be able to make these decisions based on their own financial situations.

ReplyDeleteGreat job with this event. I think its creativity is what shined and I'm proud of you guys for creating new events. I would say to help clubs make a profit, give guidelines to what can and should be sold, as well as rules such as buying cheap to make sure profits are maximized. I don't think there's anything wrong with clubs replenishing supplies, as long as they have the funds. For the photo booth, I believe that it's simply a matter of more info to the student body prior to the event.

At the end of the day, we can't necessarily ensure all clubs make a profit, but for future years you could provide estimates for how much food to buy based on previous years and similar items that have been sold. This could solve the issue of some clubs selling out too fast while also solving the problem of not making a profit. For the photo booth, having more promo on our social media would be nice to people are aware of the photo booth beforehand and know what to expect. Otherwise, your only way of promo for the photo booth is at the event itself. Also, I think it was a good move to have match-o-matics during the event as although maybe less people stayed after school compared to lunch, it encouraged students to come down with their match, get donuts, and also support clubs while giving the event more publicity as a first-year event! Great job clink!!

ReplyDeleteGreat job on valentines night market, 2025 had a great time selling at your event! Overall the event was ran well. Here are just some problems 2025 ran into: first off, you guys were using a ticket system that was incompatible with the food truck. It was really awkward for the food truck because we had to repay them back for 85% of the tickets in cash. This lead to some problems where our check wasn't approved because it got stuck in the approval stage and didn't get mailed to the food truck until a couple months after. I've also learned that its good to sell cheap things, under 10 dollars, because 26 sold out with their chicken and most people only bought fries from us because they were relatively cheaper. Next time, I would advise against using a food truck because it was not as profitable than simpler ideas and getting the food truck on campus gave me white hair due to the amount of emails I had to send π but yeah the event was flawless, congrats to Alex Li, Manit and clink!

ReplyDeletegood job on this new event. i believe this was one of the first brand new events of the year?? and it was super fun to see it come to life. as a "customer" i think it was cool to see people from all groups selling their items and it was a cool way to both display and help out clubs. personally, i think some of the things we had could be re thought out... for example, the wheel spin was not too big of a hit while i was there. i also think that we should either get rid of the photo booth or put it in a more visible area so more people can access it. otherwise great work on this event clink!!

1) to promote the photo booth, you could use a stamp card like how it worked in fall night market. by handing out a stamp card to everyone w/ a list of activities to do it would encourage people to participate.
2) i think a club could purchase more food if they want to. at the end of the day, the funds are for the club. asb should just be providing advice with what sells well/what doesn't. however, if it's the last 30 minutes of the event, asb should encourage the club to not sell more food.

ReplyDeleteI loved valentines club market, and I'm excited to see it happen again next year :) It was really fun shopping the stickers from virtuosity
1) I believe it was a good idea to have match-o-matics donuts there-- definitely was a good incentive that encouraged more people to come. The only downside was that it meant pairs weren't able to meet if one of them couldn't make the event (especially ppl with sports) whereas passing out the donuts during school hours was open to everyone. It might be a good idea to try having a different ASB event happen at valentines club market-- just an alternative?
2) I don't think the photobooth was as popular because it was placed in a pretty hidden location and it was probably a lot of work to have to find the photos after the event. For the future, clink could just walk around with a camera "epic-style" and either ask people to pose or just take candid shots.
3) Unrelated but the decs were really cute! And something to consider is to have a music request sheet or play valentines music :)
OVERALL great job! Super excited to see this happen next year and hopefully leung will be on-board to be pied instead of ditching last minute yes I'm still sad about that.

ReplyDeletei think asking for the budget of their sales (how much they're purchasing, cost, profit, etc) and approving it before they're allowed to sell would allow to make sure they're getting the most out of the event possible. match-o-matics at lunch would probably be better. for promoing the photo booth, potentially doing a photo booth strip themed graphic for asb kids to add their photos to and put on their stories could help. using this year's numbers are a great way to estimate for next year.

ReplyDeleteGreat job on valentines club market, i loved it so much and it gave such a cozy vibe. One thing I would suggest is not allowing the students who sold out quickly to sell more. While the item may be popular, it might cause a larger difference between them and other groups who didn't sell as much. I would also suggest double checking that everyone is doing different items and there's no overlapping. I saw a few overlaps (ex. two people were both selling necklaces), causing perhaps competition between the two groups.

ReplyDeletevalentine's club market was so fun, and i think it's a great way for asb to support clubs. to the question of allowing clubs to buy more supplied mid-event— this idea seems fine on face, but if the advisors have concerns about profit or potentially making a loss, we could institute a rule that clubs are only allowed to put either their event revenue or a percentage of their revenue toward the new items so that worst case there is no change.

Hello clink! Great job on this new event, I think it was a really great idea and it turned out really well for a first time event. I was on pieing duty and one of the teachers cancelled, I think we could probably use more promo for teachers and/or incentivize joining the pieing so that it isnt just two teachers and more students who have these teachers are more likely to pay to pie them. I also think each booth should be told to have bigger and more flashy kinds of posters in front of their tables, as I had a hard time figuring out what some of them were doing from a distance. The wheel of fotrune was also fun but I think overbuying prizes was a bit of an issue, maybe make it so that there are very big prizes you can also win but you have like a 1/20 or lower chance of getting it so more people want to try to get that prize? More attempts means you'll likely break even from it too, if not make money. I had a great time at the event and I have no doubt it'll be amazing next year too.

ReplyDeletegreat job on the valentines club market, it takes a lot to start something new, so props to you guys for pulling this off. there's no way to guarantee that all clubs make a profit, but you can increase their chances by playing it safe. especially for an event as new as this one, it's better to buy less and sell out than to overbuy and lose money. on that note, it's probably better that clubs dont buy more mid-market. i think combining match-o-matics was a good idea because it increased engagement both ways. the photobooth NEEDS to be promoted more, it'd draw in so many people who just want cute photo ops and it must've cost a lot to bring.

ReplyDeletevalentine's market was a blast! it was such a nice touch for students to experience something new. starting off with match-o-matics. i think it was definitely a great idea that the two events were at the same time, since people who participated in match-o-matics were basically forced to go out to valentines club market. for the photo booth, definitely having like a sign in a busy area, or even having it by the ticket station so people know. lastly, i think it'd be ok for them to buy more in the middle of the vent if they wanted to, since it is their own club money and they are free to use it however they want but make sure they have talked to their advisor about it before they purchase more. overall, loved this event and it was super super successful

I think one possible thing to consider is maybe having a multitude of clubs selling the same item because some clubs selling things like stickers & pretzels vs boba doesnt tend to do as well.

- the profit comes with engagement, which will increase as this event becomes more and more established in lynbrook culture. a way you could boost engagement is by considering more creative promo avenues. the physical invitations were a great idea, but turning to clubs to film videos for their personal instagrams/email chains could up the number of attendees as well. i think you did a really good job with promo already, though!
- pairing with match-o-matics was great! it benefited both of your events because of the increased exposure to students.
-wait i didn't know there was a photo booth either π maybe incorporating that more into your promo, and encouraging people to post their photo strips on insta could help make that more publicized!

I have a question: why does each club have to have an advisor present? Maybe this is something you want to discuss with admin and change so that you can have fewer advisors marking different corners of the Quad. I understand multiple clubs weren't able to join due to a lack of advisor.
This was a really cool new event and I am excited to see how you all improve it!

ReplyDeleteI did not get to visit the market on the actual day, but my club did participate as one of the vendors. I thought this event was super cute and a really nice way for clubs on campus to showcase their strong suit. I encourage more club market events in the future, and having more aspects to the market to both make it more enjoyable and have more clubs be able to participate. For example, there could be a stage for performance based clubs to do their thing while people browse the booths, something that will add life to the event. The only critique I have about this year's market was the time as it was super inconvenient for people to stop by, especially those with a sport. I think if the event incorporates enough clubs and attention, it could be held during the weekend (similar to a farmers market).

Unfortunately I wasn't able to attend but I heard great things about it :) I think a way that you could possibly increase attendance is to have some sort of performance going every so often (maybe spaced out per half hour) and give it more of a festival feel. I also think that picking a weekend ish day like Friday would be better since a lot of people don't go out on school days due to homework! These factors should all help out with clubs selling better :) As for purchasing more supplies mid event, I think that it is ok as long as they can make it back in time. I would say that if there is less than an hour left, it may not be worth it, but since it was only 15 mins in, they still had a lot of time! Can't wait to see the market next year!

For such an impromptu event, it was an amazing success. Congratulations! I just have a few recommendations as well as answer to the prompts:
In order to better ensure that all clubs/groups make a profit, you could do something that is similar to the method that we use in class for fundraisers with each club reporting their product, the cost, the revenue, and the profit.
I believe that it was good for attendance to have match-o-matics during the event. However, it depends on what you are more invested in. I believe that much more can be done with match-o-matics as an event. However, you could also, instead, combine two events as you’ve done so here in order to increase attendance.
For the photo booth, please have it in a visible area with traffic. I would recommend stationing the events and clubs in a way that allows traffic to segway from food, events, activities, etc. evenly and in a rotational manner. This typically makes people spend more, etc. As a rule of thumb, it's just good to have everything in a medium distance from one another, things that are too far away won't attract that much traffic
Finally, I believe yes, it is most definitely a good idea for clubs to purchase more items in the middle of the event. It is in the end, their decision. Make sense, they are able to do it within a reasonable time, and, tying back into the points made above, it should be reasonable for cost, profit, and revenue. Typically, if you are able to run through the processes beforehand, you would be able to recommend them to buy more.

ReplyDeleteI say this with full honesty, I am super impressed of you guys for brainstorming a brand new interesting event and actually executing it. I attended, and it was super great to see all the clubs/businesses and the pieing and everything. One comment I wanted to make was about the overall layout of the club market. When I hear "market" I think of a really busy layout, kind of liking your walking down a narrow street with lots of pop-up shops. I think we can have a layout similar to that arts and crafts fair that happens in November and incorporate more clubs/businesses that way. Once again, great job and I am excited to see how this event evolves in the future.

ReplyDeleteThis event was so creative! Good on you guys for branching out and coming up with something new. I agree with Satvik in the sense that while the turnout was pretty good and there was a good amount of signups, we still want it to be busier. We had a similar issue with Social's Night Market in the fall, so I think it would amazing if the 2 commissions could collab! It would not only increase turnout, but also give people more things to do at the event.
Also, just to comment on the last bullet point, that is a very BAD ideaπ. The worst thing that could happen to a club is to have profit go to deficit because they get greedy. I think similar to CFD, you guys can give suggestions to clubs for how much they buy/sell, so they can better estimate their numbers. Of course, this will come with time and experience, so I'm definitely looking for an even more amazing market next year!
