Winter Formal: The Secret Garden

Heyo ASB <#3333

First off, thank you everyone for helping out with Winter Formal, it wouldn’t have been possible without you guys!!! We hope everyone enjoyed the dance and venue.

We would really appreciate any feedback you guys have concerning any aspect of the week. Here are some points for discussion:
  • What are more ways we can be sustainable? (Ex. should social buy a water dispenser for the future)
  • When it comes to food should we get more or less? (had more than 2:1 in fluids and cheese/crackers)
  • Were there enough decorations in the venue to make it feel full? (There were arches, flowers/ivy vines on railings, and flower cloches for table decs)
  • Should we make it permanent to give away some type of goodie or favor at winter formal?
  • Were dressing up, poster distribution, and video promo methods effective? If not, what could we change?
  • What other ways (besides earlier ASB and co/cp asking) could we promote askings?

Thank you for taking your time to fill out this blogger!

  1. hi social!
winter formal was AMAZINGG me and my friends had a really good time and the DJ popped off// here's my feedback/improvements:
    1) definitely get more food; i think all of the fruit & macarons ran out during the first half of the dance
    2) in terms of sustainability investing in a water dispenser is really smart; i liked how you guys provided ICED water during the dance
    3) giving away the flower crowns and the boutonnieres @ the entrance was a really sweet way to welcome the students; but i wouldn't necessarily have it be a permanent thing. a lot them were left on the ground of the dance floor and/or on the tables

I LOVED WINTER FORMAL it was so good the venue was beautiful and everything was so cozy and well planned. The arches were done so well and the photobooth was really well received by all attendees. I wish more people took pictures with the arches so maybe using one of then for photo purposes would be nice? I definitely think that there should have been a bit more food, but it wasn't too big of a deal as most people snagged a bit and they were yummy snacks. However, near the late middle (?) of the dance water also ran out and I remember a crowd of people trying to squeeze out the last drop in the dispenser. In the future maybe overbuying water might be a good move? I absolutely loved the flower crowns and boutonnieres that were given away. They were such a cute souvenir and while giving out favors does not necessarily need to be permanent, it would be really nice to have them more often than not.
Overall great job!!! I made so many good memories from winter formal :)

  3. hi social!

i was unfortunately ill and could not attend wf :( i will comment on promo!

i thought the promo video was super fun! i love that we're getting more faces than just graphics on the instagram! i know it was definitely a relatively short video, so maybe including a post with pictures (though that is googleable information)

not sure how effective dress-up was - i think people thought asb kids were dressing up for the sake of it so i think continuing classroom visits is the move (if we can ofc)

through the pics and word of mouth, it seems as though the event went well. well done, yall!

WINTER FORMAL WAS SO FUN THIS YEAR! the venue was so pretty (sad it was already dark when i got there) and everything was planned out perfectly. I think there should be a bit more food, especially since they ran out quickly. As much as water dispensers are more sustainable, I think next year if water dispensers were bought, to definitely BUY LOTS or they would need to be refilled over and over. I also think that there were enough decorations but they were placed in areas that could not be seen very well. The flower crowns and boutonnieres were such a cute souvenir, and I definitely think it serves as a cute memento and would be really nice to be permanent. Overall, GREAT JOB I had such a fun time and lot's of good memories!

  5. Hey Social!

Winter Formal was a real win this year! I heard everyone saying that the venue was gorgeous and that the decorations were stunning too. After seeing those small flowers in glass decorations, I definitely agree. Next year, it is worth considering buying a bit more food and I think the water dispensers are a great idea. Overall great job Social and i’m excited for next year!

amazing job with winter formal! the venue was really nice even without decorations, but you had a perfect amount of decs that added a nice touch. i think the commission should definitely invest in multiple water dispensers since having just one was a little inefficient, and you had to resort to plastic water bottles near the end of the event. if possible, maybe go 3:1 on food, but that is pretty expensive. the promo was really great this year, however i feel like dressing up was a little ineffective as having just 30 asb students wearing formal attire doesn't really catch too much attention. i'm sure you guys will outdo yourselves again next year, good luck!

  7. hi social,

first of all, incredible job on winter formal, i had a really fun time and it was also nice volunteering for the event! i think the decorations were really good, i think the venue itself was already very nice, and the extra decorations elevated it even more. i really liked the freebies as well, the flower crown/boutonniere were super cute, the only thing is that at the end of the event there were a lot of them that people left around the venue, so i think it might be nice to consider how these freebies/goodies can be reused in the future since otherwise it's a bit wasteful. i think promotion was really good as well (shoutout to colin), the videos were really high quality and i think it got people excited for the venue and formal itself. other than that, amazing job!! i hope social can get some rest now

  8. HI SOCIAL!!!!!!
Thank you SO MUCH for planning winter formal. I loved the decorations and the theme was super cute. I do think we could’ve purchased more macarons because they were so popular and so good!!! The flower crowns and boutineeres were such a cute addition and so many students loved it. However, I do think for the homeroom promo, it was unnecessary for everyone in ASB to help out. It was during a closed tutorial, so some people may have had to make up tests/do their homework during tutorial. I think instead of having everyone do 2-3 classrooms, just having a few volunteers do more homeroom visits would be sufficient. Other than that, thank you for planning such a fun event :)

  9. hi social!!!

winter formal was so much, im glad everything worked out in the end!
for food, i liked the idea someone had about saving a portion of it to put out at a later point in the dance. i believe this would help ration the supply you guys have and make sure it does not run out too quick. as of decoration, everything was super pretty. i feel like most people didnt really notice the decor that was inside the venue were the mosh was because they were too busy. regardless, it was a nice touch but i think in the future you guys could prioritize making other places of the venue look pretty. i personally loved the flower crowns/ physical tickets. i love receiving physical items that remind me a fun event. im not sure if your guys intenton with the flower crowns was for people to keep them as a souvenir or wear them during the dance, but i saw people doing both. if you guys have the budget for it, i believe it is super memorable to continue handing out physical items. in terms of askings, i do believe more people would have participated if they had more information about the event. i think in the end, you guys will not have a huge problem selling tickets because wf is already a highly anticipated event. especially with the cap on people who can attend, i dont think selling out on tickets is something you guys have to worry about.
thank u guys for an amazing wf!!

thank you all so much for the hard work for wf!! Though I personally wasn't able to attend, based on what I heard and from pictures on Instagram, many LOVED the event. First off, I think investing in a water dispenser could be a nice investment that could be used for the majority of social events.I think that the goodies given at wf was also really nice as a little touch, so if it fits into social's budget, I would definetely continue doing so. In terms of promo, the video w/ tech was great, and for other promo I would recommend putting more focus on the theme itself (maybe decorating parts of school, playing theme related music, etc.). Great job social!!

What a great event guys. I gotta say you shot this one out of the park. I think the venue was perfect for winter formal and there was a really good choice with the DJ as well. I think the idea of having a party favor is a really good idea, similar to how we had a commemorative ticket last year. I think it does help to make it permanent as I know many people who put their ticket up on their wall last year etc. Overall I think if you guys are able to recreate this time then I think you guys will continue to put out really good events for the future

  12. hi social!!
thank you for putting on a banger winter formal!! i think it's the best dance of my high school experience so far hahaha. here's some feedback:
    - sustainability: getting a LARGGEEEEEE water dispenser that's NOT plastic would be good. i dont remember if yall got paper cups but that's also pretty important
    - food: getting more non-perishable snacks would be good, like chips + pre-packaged things.this is because some people literally get food and forget to eat it LOL i snatched a couple of chips bags because people just left it there at the end of the dance.
    - decorations: it was amazing! honestly i get your feeling that since we're the ones planning the dance, we're more mindful of the decorations + surroundings + atmosphere. the venue didn't feel "bare" and everything was pretty. at this point, make sure to think about "are the decs worth the money/effort of making them" since it can become an overwhelming operation!
    - giving goodies: it's great that social had spare money to give goodies away but it shouldn't be permanent and this really depends on the budget year to year.
    - promotions: make sure people know the location, time, date before askings begin! also having some sort of incentive for asb people to do askings would be good since they would only do it for giggles + no chance of receiving free tickets.

overall great great great great job!! get some rest and i can't wait to see what social puts on next!

  13. Hello!

Great job on WF this year— the school loved it! I want to talk about the goodies/favors question: while it was really cute that you guys handed them out this year since they were really on theme and could be used/worn during the event, I don't think it should be added as a permanent part of the project plan. As with all party favors, people inevitably lose or throw them away, and the investment just isn't worth it a lot of the time. People already get to walk away with their memories and their photostrips from the photobooth, so I think that part of the budget could be better spent in other areas. This isn't to say that the favors this year weren't amazing, but going forward unless there's a cute opportunity that just can't be -passed up, I don't think they should be our focus.

  14. Hey Social!

Awesome job on winter formal. I heard so many positive things about it you guys deserve the break and all the compliments. As for the goodies mentioned in class, I really like the idea of giving out something free as a memento of the event. Although there were many seen left behind after the event, but it showed up in many of the student's pictures which I think adds a very special addition to the overall event. It reminds the students of the overall theme of winter formal which I believe sometimes gets easily forgotten. Speaking of theme, I think you guys did an awesome job with the following the overall theme of the secret garden with the decorations. Walking into the venue really made me feel like I'm walking into a flower garden thanks to the arches. One last thing with the wf askings, I believe there weren't that many askings this year because the location, date, and time weren't released during the time asking was released. I think for next year to definetly keep in mind these minor details because students aren't going to be asking each other if they don't know where the event is located or when it is. I think it's really cute to have ASB ask each other but of course make it clear that this is not part of the asking contest rather it's mainly for the purpose of promoting askings. Other than that, I spent an amazing time at winter formal and all this could not have happened without you guys so again amazing job!

  15. HI SOCIAL!
great work on the winter formal. as always, you guys pulled through and put on a wonderful event. i really loved how you guys gave out a lil goodie for attendees and it was super cool to see how many students wore theirs throughout. agreeing with others, i think that (idk how) but somehow promoting asking's would hopefully increase the amount and maybe having a lil segment in the pr video. i also think that maybe having a lil goodie before the event could be really cool. (for example like rec's hot cocoa before chts) otherwise, great work social and i am very excited to see your next event!!

great job on wf!! the event was so much fun and i really enjoyed it. i really liked the goodies for the attendees and i think a lot of people really liked it, but of course i think you guys should only od it if you have the budget for it. i think it might be better to give it to people at the end of the dance though, since when people were at the dance, they fell and just got stomped on :( i think the promo video was really really cool, but maybe putting like a 15 sec montage in the pr video would help with promo. the decorations at the venue were really pretty and i think you can focus mainly outside, since most people inside are just moshing. overall though, you guys did amazing!!

winter formal was soo much fun, great job! in terms of drinks, the options were various and it didn't seem like we ran out very quickly so that was good in keeping students nourished. as for food, the options were really aesthetic but maybe not the most convenient. the edible arrangements and charcuterie board for example was soo pretty but maybe not the easiest for students to sanitarily eat from. the corsages and headpieces were so pretty but also littered the ground at the end (i personally still have mine though so keep the idea of freebies!)

Really good job on winter formal this year! This dance was honestly my favorite out of all the other school dances I have been to in high school. I loved the venue and the entire vibe of the event. I think it would be a good idea to make the goodies a yearly thing since they were super cute. For sustainability it might be better to have the goodies recyclable since a lot of people left them around the venue. I think that the promotion for askings went really well too. Overall great job!

  20. Hey Social!

Great job on winter formal, I really enjoyed it! To answer the discussion questions:
    - I honestly think the plastic water bottles werent a big deal because you would have to use plastic/paper cups with a dispenser anyways. However, the headbands and boutonniere that were provided at the dance easily fell off in the mosh and at the end there were a lot of lost ones on the floor which were wasted. In the future, i think it better to just not give them or give out ones with pins instead of clips.
When it comes to food, i know a lot of people were disappointed that there was only cheese and crackers and fruits. It was a really nice touch and pretty fancy but also make sure to stock up food people like such as chips.

Other than that great job social keep grinding 💪

  21. Hi Social!! Here are some points:

You can minimize food waste by planning the quantity of food based on the number of attendees and donating any leftover food to local food banks. The quantity of food should be based on the expected number of attendees. If there was a significant amount of leftover food, it may be more efficient to reduce the quantity of food for the next event.

It would be helpful to get feedback from attendees on the venue decorations to determine if there were enough to create a festive atmosphere. Consider asking for suggestions on how to improve the decorations for future events.

Giving away a goodie or favor at Winter Formal can be a nice touch and can serve as a reminder of the event. Dressing up, poster distribution, and video promo methods can be effective if they reach the target audience. To improve the effectiveness of these methods, consider targeting specific groups of students and using social media to amplify the message. Additionally, consider collaborating with other clubs or organizations to reach a wider audience.

Other ways to promote askings could include creating a social media campaign with a specific hashtag, organizing a "promposal" competition with prizes, or hosting an event to give students ideas for creative and memorable ways to ask their date.

  22. Hello social, great job with Winter Formal. I genuinely enjoyed myself a lot, and you guys also were very organized so it was very simple for volunteers to figure out what to do and how to do it. I think in terms of food supply, don't aim for more than is required, especially for events with an attendance cap like this one, because typically the amount of people who forget to eat balance out or even outnumber those who take extra, leaving a lot of extra food if extra is brought. I think the flower things (i forgot what they're called) were a nice touch as well, I'm not sure if they're given out every year as this was my first but they were fun to have and people seemed to like them. Overall, great job and I cant wait for next year's winter formal!

AMAZING JOB with winter formal. This was the best winter formal i've attended in all my years at Lynbrook no doubt thanks to all the effort you guys put in. The food was really delicious, although it ran out maybe a little too fast, so future years can consider offering a bit more food if the budget allows. The DJ was amazing and really understood his audience, so try to book dj dave for the future if you guys can! The freebies were also the cutest thing ever, and made the event that much more special. I've heard so many people say this was the funnest asb event yet, so seriously props to you guys <3

  24. Hi Social! Amazing job with winter formal! I wasn't able to attend but I heard rave reviews about the event overall from my friends and I think you guys promoted it really well as well! I know people really loved the location and thought Mountain Winery was a really beautiful venue, so amazing job choosing that! I also know that people really loved the concept of the flower crowns and thought that was really creative overall! All in all, amazing job Social you guys really killed it!

  25. Hi Social!

This dance was amazing. It was a good venue as it gave people the option to be inside or outside. The food did run dry a bit early, but I think it's better to run out fast then over buy. I also think that social might want to spend less time making some of the decorations (especially the ones at the entrance) because they don't add much to the dance experience for the average student and take a lot of time to make, set up, and clean up. Everything was well made, but the juice may not have been worth the squeeze in this case. Great work!

    Best,
    Shyon

  26. Hi social,

This was straight up my favorite event of all time. The memories, the landscape, the views the decorations, evetrything was great. BUT PLEASE PLEASE PLEASE ASK DJ DAVE TO PUT FAMILY TIES AS THE LAST SONG. Aside from that I think maybe having a coat/bag check could be a good idea in the future.

    Thanks, Sagar.

Although I wasn't able to attend WF I heard so many amazing things about it! The decorations were beautiful so great job to yall :) My one suggestion would be that any outdoor portion of a venue in January always goes underappreciated due to the weather. However, heaters, lamps, and fires can remedy this. I hope you all consider heating units for future years if there is any outdoor aspect.

Thanks for a great last dance <3

  28. hi social-

Winter formal to me always feels like it is put in the backseat of dances, especially in comparison to homecoming (for some reason) and prom. I went into this year's winter formal with admittedly little expectation, but I left completely blown out of the water. Everything about this event I think was done perfectly in my opinion from the food choices to the dj, but I was pleasantly surprised by he extra effort put in by the team. The flower crowns were an incredible touch, and I really liked how the water station was always cool and close to the mosh. This became the first dance where I didn't want the night to end and was disappointed when the dj said it was the last song. There was something remarkable about this event and I just want to acknowledge the hard work put into it. Good job social!

  29. Hey social!

Winter Formal was absolutely amazing this year! definitely my favorite dance in my high school year! There was something really homey about the venue choice which was really great. The natural lighting setup from the venue was super ambient and I think this goes to say how important lighting is in decs. I also enjoyed the vines, but I would have to agree with people in that they didn't make as much of an impact as the lights! I loved that the theme was super cohesive and that you guys didn't overspend your time on tiny decs :) As for goodies, I think that they were super cute but unfortunately a lot of people lost theirs. I think you guys can do some smaller goodies like bubbles or glow sticks that add to the feel of the dance! overall I LOVED IT

  30. Hi Social!!!!
What an absolutely spectacular winter formal! The venue was amazing, and the view was absolutely phenomenal. The overall event was really nice---the dance floor was lively, the pictures were great, check-in was smooth, etc. I think that the flower crowns and the other small flower thing were a really nice addition, and really made it feel like a VIP experience, so I do think that it is worth it to make it permanent to give away a goodie at winter formal. I think the decorations were really nice and did make the event feel full. The archways were really nice, but I think the ivy vines were not that noticeable. Maybe the ivy vines can be moved onto the sides of tables so that they can be more visible.

    Great job!
    Alex

  31. Hi SOCIAL!
Superb job with winter formal. It was definitely a highlight of my second semester senior year. Apart from repeating what everyone has already said, I want to quickly talk about one slight issue I saw. I think the game placement of the cornhole was really inconvenient because lots of people were walking in the middle of it to get to the food and the photobooth. I don't have any other ideas of where else you guys could have put it but I just thought it would be good to point out that slight issue. Again, really great job with winter formal. You guys killed it.
