Club Food Day

We just wrapped up on club food day and we would love to hear your feedback!


Some info:

- occurred on March 10th

- clubs sold food and snacks during the event

- ticket sales happened online the day week before and cash on the day of

- students exchanged tickets for items

- around $5k - $6k tickets sold

- moved to the hallway instead of the quad (where it used to be), which allowed for a lot more open space


Some questions to consider:

- was the new location better or was the quad better?

- is it worth it to continue selling online tickets as it is convenient but there is also a service fee?

- we had some clubs make a loss, how can we prevent this?

- should we impose stricter guidelines on what clubs can sell? (Some clubs didn't make a profit/dropped out very late)

    Super great job w/ Club Food Day -- I LOVED the food options and also the event as a whole to support clubs! As to the location, although I'm honestly not familiar with how it was in the quad, I liked having it in the hallways as it was convinient for myself and students to move about the different stations and buy foods. As to online tickets, I think as long as it's not too much extra work, there's no harm in online tickets and it's fine to keep it although you might not get many online. Maybe I'd suggest pre-selling tickets during brunch along with distribution as an alternative? As to the losses, in the future, you guys could provide general suggestions as to the buying quantity based on previous year's turnout. For example, if one club sold cookies and only sold 30, you could give that information to clubs also selling cookies in future years so that they can gauge how much is a reasonable range.     was unfortunately in a meeting during club food day, so i will comment on the last few questions! for clubs losing money, i think the best way to enforce fiscal responsibility is through advisors. it's too much work for y'all to audit every club, and it advisors double down on clubs, it does the job. and, i think as long as clubs do not overlap in food, it should be okay! in terms of where it was, i think the hallways were better since the quad is always a cesspool of traffic in different directions. overall good work!

    first of all, i really loved the new location. i think we should continue this every year since the quad usually gets crowded, and rain or shine the clubs are provided with shade. honestly you guys should still continue online ticket sales, although i noticed they weren't as popular and many students bought tickets the day of in person. i mentioned this for the valentine club market, but for clubs that didn't make a profit you should encourage them not to spend over a budget if they want to be safe. if they're feeling confident, they can take the risk and go over the budget. i think for a rainy day you still got plenty of engagement from students and staff alike!

    great job with club food day! despite the weather, you guys were able to pull it off and i loved how everything turned out! i like how you guys turned quickly to a backup option of under the overhangs. even though club food day is usually in the quad, i believe there was still a great turnout. i honestly think we can consider moving it to the hallways because of how less crowded it was. clubs also had more space to advertise for themselves and people were able to get around quicker/better. even though some people may not like the online system to buy tickets, i think you guys should keep it since it does not harm you. of course, i think we should still have the option to buy tickets in person. having an online and in person system just ensures more accessibility and people can choose how they want to follow through. i dont think you guys should be responsible for if clubs make a profit or not because they are the ones who choose their own profit/quantity. you guys could probably send out reminders to make sure they stay within a budget that fits them, but in the end it should not be on clink. great job!!

    loved loved loved club food day!

    here is some feedback based on your questions:
    1) location: i liked doing it in the hallways as it gave the event more of a "night market" feel. furthermore, with such a hustle and bustle, it felt like there were MORE food/stations than there were and it was super tight-knit (a good thing!). in the quad, it would look bare so i suggest against doing it there. furthermore, it was great walking right out of class and smelling such good food! made my mouth water
    2) online tickets: i think you can keep online tickets as an option for those who forget to buy them in person, but having in-person presales should be done. possibly holding these sales the M/Tu/W/Thu before the event during lunch (in the quad) could get more sales and make customers happier. i know that i didn't like spending extra money on transaction fees, and almost made me not want to buy tickets! :(. keep online as an option but presale.
    3) loss: i believe it's the clubs' fault for not thinking ahead and purchasing foods that the general public would like. therefore, i do not think they should be reimbursed for any losses. for example, if XYZ club bought boba (which is extremely popular) and they sold out, but ABC club bought necco wafers and DIDN'T make a profit, i think it is not ASB's responsibility to break them even. however, if you guys wish to, you could require that all clubs send you their food plans, and you can review them and give them feedback (whether or not you think they are going to sell, etc). you should def support and give feedback but it doesn't make a lot of sense to reimburse them. :)
    4) guidelines: i think you should keep a strict deadline for when clubs can drop out - and if any do so after that, they get a strike. i don't think it's fair for clink to deal with clubs dropping, etc. additionally, you could have dishes on a first-come-first-serve basis (CLUBS CANNOT SELL THE SAME FOOD). if clubs 123ALEX and 456CHELSEA both want to sell boba, the one who signed up first should get priority and they are the only club selling boba.

    overall, i really loved the vibe of the event. i do think for PR, we should have reached out to teachers more to get them involved in the promotion.

    great job on club food day! It's always one of my favorite events of the year, and great job on being very flexible on changing the location last minute. As a volunteer at the ticket booth I think it went well, although it was sometimes a little bit overwhelming since there were so many people, so I think in the future the tickets can be pre-ripped so that they are in bundles of 10 tickets, so that it's easier for volunteers to hand out the tickets. I also think it would be good if one person handles the money and the other handles tickets, just so the process is more streamlined. other than that great job!

    I LOVED CLUB FOOOD DAY! Overall it was a great event that im sure a lot of other lynbrook students also look forward to. Honestly, location wise I think the new location is actually better than the quad because the enclosed nature of the quad setup made it really crammed. Last year, there was a huge block of people blocking the way bc they were lining up for boba but this year I didnt have any problems with people blocking the way. I dont know if you guys had any limitations on the amount of clubs who can sell a certain food item but some items like boba consistently sell out and I think we can let more clubs sell them because lynbrook students WILL drink all the boba! Also, other than that, I would say keep a track on the clubs who failed to sell out this year like japanese club and be sure to have a meeting with them before they plan on selling something for next year. otherwsie great event I loved it!

    wonderful job on club food day this year!! this event always seems to be a hit and i want to appreciate yall for adjusting to the rain on short time. i personally feel the having the online option doesn't hurt us (right?) but we probably can assume that the majority of the students will purchase tickets in person. im not really to sure how to help clubs profit, but i do think that enforcing stricter policies can help avoid the issue of clubs dropping out. great job on successfully holding this event again!!

    great job on club food day! unfortunately i wasn't able to go, but i heard that the event was really organized and people had a lot of fun. for your discussion questions, i think you guys could create a short handbook with advance. for example, what types of foods sell out fast, recommended food places around the area, how to ask for discounts/communicate to stores, etc. this way, most clubs will be able to sell out or at least break even. as for stricter guidelines, i think asb should give advice to clubs but not impose restrictions as clubs should be able to have the authority with their money. overall, such an amazing event!

    club food day this year was so cute! i think the new location is great, and keeps the quad open for people who might want to use it during lunch. i think while we should aim to sell the bulk of our tickets in person, selling tickets online should remain an option— we should definitely look for a better platform to use that doesn't take as high of a service fee, though. to prevent clubs from making a loss, i agree with what nina said in the above comment— setting a standard for what is popular, as well as publicizing what each club is selling so that there is little inter-club competition is a great way to start!

    i wasn't here on club food day:,( but i heard good things! the adjusting of locations because of the rain was last minute but a very smart decision and executed the best possible way. great job thinking on your toes. i think the online store can be convenient for some people and in person for others, so maybe keeping both options available would be most beneficial. as for loss prevention, having clubs submit how much they're buying, cost, and profit for approval from you all could help with regulating profits, and stricter guidelines should definitely be imposed during sign ups. implement the strike system! amazing job with this event clink!

    I was so excited for club food day as it's what of my favorite events in the school year! I know there were many issues regarding weather and etc, so i commend you for doing such an amazing job even with the amount of pressure from clubs and the short amount of time you had to make decisions. Personally, I loved the idea of being able to buy tickets beforehand. It was convenient and way easier for me to get tickets online without having to see anyone. I understand that there is a service fee but I think for some people it is worth it to pay a service fee for convenience. I also would heavily suggest having Club Food day in between the buildings as you did this year as it gave more of a night market vibe compared to the quad. It was also spaced out more compared to the quad which was overly packed and difficult to move in.

    I loved club food day so much! Even with the weather, turn out was amazing and as someone who was in a club, it was really easy to give out food. The tickets being sold earlier was a great decision since it was convenient, hence people were able to get the food from my club when it was still hot. I prefer this location way more than in the quad as it's more open and the vibe is so much cooler! Overall, great event!

    Awesome job on club food day! I love how you guys were able to change the location to accommodate to the rain. I think if it was a sunny day definitely keep in the quad since thats where students are around the most and where all the attention happens. As for tickets, I saw some students having trouble prooving that they bought the tickets because there was no information sent to them as a confirmation that they bought their tickets so to avoid these issues still try to keep ticket sales in person where students can use cash while have the online version. Knowing that some clubs weren't able to make a profit, you guys can provide a list of things clubs can sell to make profit. Overall, club food day was amazing this year, i loved it!

    I think Club food day was so good this year. To me, this is what it should've been for a while: a corridor simulating a farmers market. Even though the location was on accident I think it actually made the event so much better so that's great. In the future I think we should have it in the same type of corridor formatting as it was so much more genuine in a way. Regarding some other discussion questions, I think we should actually be a little stricter with clubs, especially taking into account the clubs that may have lost funds. I think if they didn't make any money this year, perhaps either ask them to sell something different or cut them altogether.

    Amazing job with club food day~~ The location was spot on first of all because it actually felt like a "market" type of vibe this time while not being to crowded. It has the Taiwan night market type of layout and I love love loved it. Definitely worth keeping for years to come.
    This is also a smaller detail, but it would be great if it were required or heavily emphasized for clubs to make their own posters/signs and hang it up behind them instead of leaving it on the table. It's just nice that people can "window shop" and view the foods easier instead of having to yell from across the walkway.
    Also it might be good to set a hard limit of ~3 clubs selling boba because personally I think 1 was not enough (they sold out first 10 minutes if I remember correctly?).
    For preventing losses.. I believe just being more firm if a food item is too similar to another club's choice or simply isn't popular for clubs to change their item, giving them options would help a lot. And maybe adding a poll to pre-event online ticket sales that's like "what are you excited for?" and later contacting clubs with significantly less interest than others and giving them a chance to change their option.
    Overall amazing amazing job and I'm excited for next year's club food day!!!

    thanks for putting on an amazing club food day despite the rain! here's a couple points:
    - i would heavily encourage continuing online sales & promoting it. having a menu was great because students were able to plan out how many tickets to get and what food items they want to buy. even if it's a few people getting online tickets, that's a few people saved from the line.
    - layout: it worked great but the only suggestion is to have some black picnic tables/additional seating options available. some people want to get all their food in one go but they dont have anywhere to put them.
    - clubs: to ensure that clubs don't make a loss, you can ask them about their profit margin and projected total profit. this provides a good estimate for clink and holds clubs more accountable that they're actually thinking about calculations of finances.

    club food day is def a lynbrook classic and yall pulled it off well! great work

  20. Hey Clink! Great job with Club Food day this year. I actually really liked the location along the hall since it felt less congested than the quad usually does, so even if it doesn't rain I think it's a great spot to consider. The ticket system and how sales were made before were also good ideas and increased efficiency, so I think it should be continued going forward. In addition, there could be an informational meeting for participating clubs guiding them on how to decide on quantities, as many clubs lose out on a lot of potential profit due to thinking they won't sell enough, but since it's an annual problem for many clubs it should be addressed.

    great job on club food day! this was such an awesome event- i think kids really love the opportunity to eat "outside" food on campus, especially if they have strict parents, so this was not only a great opportunity for clubs, but a fun chance for students to do something different. i think online tickets are a good idea for people who'd rather have the convenience of buying online, but there should definitely always be an in person purchase option, since the convenience fee deters many people who think they're now getting a bad deal on top of purchasing food at inflated prices to support clubs.

    club food day was so so fun!!! i think this is an event that everyone loves and is definitely a good way for clubs to gain some money. i think the location was actually really nice since it was more spaced out, and the clubs won't be out in the sun since there is an overhead. i think having online is good if people don't want to wait, but definitely have an in-person one since many people don't want to pay a service fee. for clubs losing profit, i think it is bound to happen and can't be completely prevented but i think itd be nice if you guys give feedback or let them know if you think they won't make a profit. however, it is not your place to reimburse them. overall, this event was a huge success and i can't wait for it next year.

    Club food was a success overall and I think the timing works perfectly. Also keeping it in the area between the classes instead of the quad is smart because it allows for a lot more spacing. I think making sure all prodcuts are likely to sell out prior to the event is a good idea.

    heres some input on your questions :)
    - the location definitely worked better than the quad, and gave more of a feel of a "market" than before because of the hallways and number of booths.
    - can i ask why you don't sell tickets through the student store? that doesn't have a service fee and is trusted by students. that's something you can consider next year.
    - i feel like you could help clubs estimate how much food to buy. i know personally, vertigo lost money because we just overestimated how many people wanted to buy our food item, and mock trial sold out in 15 minutes and many people didn't get to have boba, so some direction from clink would have been super helpful. obviously you guys can't know for sure, but a rough estimate based on past years to buy more/less could help clubs ensure they make a profit or at least break even.

    overall i had sm fun. great job clink!

    Great job on adjusting due to weather issues. You all proved what good leadership looks like by accommodating to difficult circumstances. In fact, I even liked this setup more than our old one! Maybe this is the new setup for future years. However, I did think the Clink booth was in an inconvenient location—maybe you want to place the booth between the science wing and Den building for more space to create a clear line for tickets.

    I thought club food day was done so incredibly well this year, as are all clink projects this year I'm realizing. I could really tell how everything was nicely planned out from the tickets to the position of the club booths. The food items were all appealing and not repeating, which caused large participation. I also thought the way you guys did tickets online was really smart, and it worked out really well (I bought my tickets online). Even adjusting to the rain last minute was really impressive. I don't really have any criticisms to give for this event actually- good job!

    Great last minute thinking for the sudden change in locations for the event! I think that the new location worked very well and was even better than the old location. I think this was good because people were able to see more booths since there was larger surface area and they wouldn't be stuck in the middle of the quad without being able to see any booths. It definitely had sort of a market vibe which was great :) I think to increase convenience for accessing the clink table w/tickets, you could maybe place that somewhere near the quad area, so that it doesn't seem out of the way, but it's still convenient! I loved this year's club market <3

    YAY! i loved loved loved this event- as both a club participating in this event (we sold sugar cookies) and as a student walking around the food stalls
    here are my suggestions for improvement:
    1) the new location was definitely better, it was still crowded in a sense that a lot of students were congregated at the ticket selling location- which made it harder for students to reach the clubs near the back. regardless, the spacing was much better than it was in the quad. additionally, i would have appreciated it if clubs were given earlier notice on this location switch- everyone KNEW and SAW that it would rain on friday weeks before the event (it was on the weather forecast), but clink hadn't sent out a location update until a few days before the event, causing a lot of confusion
    2) i like the online ticket selling idea in that i didn't need to wait in a line during the actual event; i think the service fee is worth the wait of having to wait a long time during lunch// better communication & clarification about where & when to pickup the tickets after an online purchase would have been nice
    3) to prevent clubs from making a loss- i would suggest having clink give clubs a general guideline with what sells and what doesn't @ what specific price. clink can blur out the club names from this year's spreadsheet, and notify clubs next year what items from this year sold out and what didn't as a reference
    4) i dont think clink should be imposing regulations on what clubs can & can't sell. guidelines are fine, but nothing that blocks a club from selling what they want (unless it poses a hazard to students). additionally clubs that drop out last minute should receive a strike- they're taking the spot of another club that could have benefitted from it instead

    overall super great job! im excited to see how this event will work out next year

    What a fun and amazing event as always! I loved how the new location was utilized. A few suggestions however:

    The new location was nice and it did feel like it was much less crowded as compared to usual, however, like always many of the clubs sold out extremely fast, and people were left with left over tickets. I would suggest that the Community Link also have some products to sell that they bring out in the latter half of lunch just so that students are able to get more of their money’s worth. If you would rather not, that’s also fine I suppose as it would decrease overall profit, but it would allow Community Link to profit more from proceeds.

    As for the loss of profit as well as stricter guidelines, I mentioned this in the valentines club market blogger post, but have a fundraising style of approach and approval process. Have a day where the commission sits down and talks about each club and what they are selling. Make recommendations based on the past popularity of the item and work from there. As a rule of thumb, do not have people sell non food items, and overview pricing and product amounts as these are more important than some of the other factors.

    As usual, club food day was super litty; I think overall I enjoyed the decluttered feeling that this year's club food day brought, last year was very hectic and it was hard to tell where the stands were. It was a lot easier to determine which table was selling what, and the map that was posted was very clear.

    IMO the online tickets are great if people are actually buying them, but if not, I don't think its worth it. Some people (teachers especially) were complaining about the service fee, and said that they'd rather just wait in the line and pay in person, because the fee wasn't even going towards ASB.

    I agree with the people above that clink should give suggestions to each club when they sell items, because clink may have more experience and data on what sells/what doesn't. In the end, it ends up helping both parties.

  31. GREAT JOB CLINKKKKKKK. Club food day was super good (and a good break from senior games during lunch). In all honesty, I preferred the new location compared to the old one. It had the feeling of walking down a crowded narrow street with pop up shops in the side. All in all, it was different from what we were used to, and some of my friends talked about how great the event was, and these guys aren't the biggest ASB fans. I think in the future, it would be good to have the speaker set up so you can make announcements, and support clubs that aren't selling too much by helping in promotion. Overall great job and I am excited to see what you guys do next year.
